Amazon Vendor Central/FBA Guide

Amazon Vendor

  • Acknowledge PO in LGA’s Amazon Vendor- *MUST CONFIRM AMAZON VC w SARA BEFORE PROCESSING*
    • Orders->Purchase Orders
    • Under “Action Items,” hit “Confirm New POs”
    • Check the box next to the PO, then “Open Selected POs”
    • Double check inventory on the ordered products to make sure we can fulfill the PO; If not, change the availability in the PO and the Expected Quantity
    • For Expected Date, change it to match the Window End date so you give yourself enough time to fulfill the PO with no late penalties.
    • Once all info is verified, hit “Submit”
  • Create a Sales Order for Amazon PO in Acctivate
    • Customer type: Amazon USA
    • Add ARN# on Sales Order
  • Create a shipment in the PO for Amazon to send routing instructions
    • Orders->Shipments; Then click “Create New Shipment”
    • Select “Ship from” tab and pick the warehouse that the product will ship from: Buchanan, MI=Fapco; Fife, WA= Regal; Colorado Springs, CO= LGA HQ
    • Under “Action,” click “Add PO to Shipment.” Then, proceed to Step 2
    • Change Requested pickup date to a date that gives you time to process shipment (Usually 2-3 days from the ordered date)
    • Enter the product’s total Box Weight (varies on box; case, master carton, individual) and Volume (Cubic Inches, CuIn)
      • Volume in CuIn= Length x Width x Height
      • If multiple boxes, add weight and volume of each box together for total weight and volume.
  • Once you double check all the information, create the shipment
  • Wait for Amazon to send Routing Instructions
    • Once provided, download the container labels; if it’s a freight shipment, also download the Bill of Lading (BOL).
      • Amazon container labels should be printed on VC so the label shows Amazon’s Container Code (CC)
  • Send an email to Lea Cords, the Fapco Representative, and provide her with these details:
    • Carrier for pickup/delivery
    • Billing to account info (Account # and address)
    • Billing Party Type (Third Party, Collect, Prepaid, etc.)
    • Shipment Day
    • Pack List (Acctivate order sheet), Amazon Vendor Container Labels, and BOL (if needed)
  • Once Lea sends us back the tracking information, you will submit an ASN on Amazon VC to provide Amazon.
    • Orders -> Shipments-> View Details-> Submit ASN
      • Do this for each individual shipment if needed.
      • Label Type: AMZNCC
  • Enter provided trackng info to finalize ASN. Send over final BOL to Lea if necessary.
  • Enter tracking into Acctivate Order and invoice it for our records.
  • Submit an invoice into Amazon VC to finish the order.
    • Shipments-> Click the drop down arrow next to View Details (Choose the correct PO)-> Invoice to Amazon
    • Invoice order on shipment date, after providing ASN.

Amazon FBA Shipment

  • Replenish inventory by selecting the “hamburger” icon near the top-left of the screen.
    • Inventory->Manage FBA Inventory
  • On the selected product, choose the drop down on the right side. Under edit that says “Send/Replenish Inventory.
  • For creating a new shipment, under packaging type, select “case-packed product”
  • Select “Go back to previous workflow.”
  • Fill in information based off of product types and hit continue
    • In cases of larger products like BikeWIng, V-Tree, etc.,
  • The case amount should equal the pallet quantity or Amazon will split the pallet.
  • Select “No prep needed” and hit continue
  • The page deals with labeling. In most cases, you ill hit continue. For new product set-up, Amazon will ask if you want to use Amazon labels, or merchant labels. Merchant always labels.
  • Review the Amazon warehouse choice and make sure it isn’t a coast region. Do not continue if it’s to a bad location; make changes to quantities and try again. If the warehouse is good, name the shipment, approve it and continue.
  • Confirm shipping address is correct
  • Choose shipment type: either small parcel delivery or Less Than Truckload (LTL Freight) for pallet shipments. Enter real packaging info
  • Calculate shipping costs, then confirm shipping charges are within normal range. If good, accept charges and print labels.
  • Enter shipment into Acctivate and send the Pack List, Pallet/Carton labels and BOL to Lea (Include ship date and how to package shipment).
    • Once Lea sends tracking, cancel the Acctivate order and transfer inventory to the DS warehouse.
